[B] Scope of Service:
(1) Vendor needs to provide fleet management, inventory control and procurement solution.
- Software required to support preventative maintenance and data collection for fuel consumption and miles travelled for up to 300 revenue and nonrevenue vehicles.
- Software required for creating and reading barcodes to be used with inventory control for maintaining and reconciling parts inventory.
- Software required for personnel to administer, maintain, verify, and report on all vehicle maintenance, work orders, and inventory supply and usage.
- Software required for administer up to 300 revenue and non-revenue vehicles for yard management and vehicle locations with garage and vehicle storage areas.
- Track and record vehicle maintenance related activities such as road calls, repairs, work orders, vendor repairs, vendor services, fluid usage from fuel and fluid management system.
- Track, monitor, and maintain vehicle maintenance information and history and provide staff the capability to assess, review, download and print said information.
- Provide vehicle electronic maintenance work orders.
- Using automate vehicle location technology, the technology will monitor the movement, placement, and locations of buses at the maintenance facility and externally.
- Enable the assignment of vehicles to operators by maintenance or dispatch personnel.
- Display location of vehicles and create printable yard maps showing the location of buses on the yard.
- Enable personnel to locate vehicles through computerized tablets or desktops.
- Create and track work orders with assigned staff, special parts orders required, and inventory availability and reconciliation for parts assigned to order.
- Must have auto-reorder capabilities available with automatic updates to purchasing software to ensure parts quantities are always available.
- Ability to dispose the asset or move the part from inventory.
- Ability to run a report for the bi-annual auditors.
- Ability to charge assets to work orders and include reporting for associated costs on work order.
- Ability to auto order parts based on current inventory levels and needs.
- Ability to track maintenance for all vehicle types including preventative maintenance schedules.
- Ability to use hand-held barcode scanners to record new inventory and reconcile existing inventory.
- Ability to provide instruction to vehicle operators on parking locations based on pull-out needs for next use of vehicle.
- Ability to digitally identify vehicle locations in vehicle garage for operators and mechanics.
- Integrate with fluid and fuel management software to record fuel, oil, and agency usage by vehicle number, corresponding general ledger account number, usage quantity, transaction date and time.
- The report should also show the quantity, usage by vehicle type, general ledger account number, and vehicle number by transaction date.
- The system should include data from the invoice to include price per quantity, number of quantities delivered, total invoice, invoice date, vendor, approval, etc.
- The system should reflect inventory items ordered on a purchase order, but not yet received in relevant inventory reports.
- Ability to send a requisition or purchase order requests electronically to multiple users and send reminders if approval is not received in a specific time frame.
- Allow for the seamless integration of various functions such as purchasing, finance and maintenance to allow for less manual data entry and less duplicative processes.
(2) All questions must be submitted no later than April 14, 2022.
(3) Contract term will be one year.
