[A] Budget: Looking for Proposals
[B] Scope of Service:
Vendor needs to provide dietary food production software
● Vendor builds database from customized menus (multiple menu plans)
● Vendor manages and maintains the menu and recipe database for the length of the contract
● Software must support a traditional three (3) week cycle patient menu plus a Patient Room Service menu and a five (5) week menu for youth following the Child Nutrition Guidelines
● Management of patient (resident) information (cardex) including supplements, likes, dislikes, allergies and diets
● Able to interface with electronic medical record (Meditech) for Admissions, Dismissals, transfers and Diets (ADT/Orders Interface)
● B2B Interface and complete testing prior to use
● Supports patient meal ordering at bedside or in call center
● At patient level, users can assign portion size and the meal preparation method (i.e.chopped or ground meat)
● Patient selections reflect the preference of the patient
● All recipes and menus to include nutrition information
● Nutrients are tracked as patient’s order is taken with alerts for any specific nutrient
● On-screen nutrient analysis available for all menus and recipes. Nutrient analysis can be viewed from menu
● Menu nutrient analysis report to include as many nutrients as may be needed
● For special diets, nutrient limits can be set to assist in managing the patient’s order
● Diets based upon the ADA Nutrition Care Manual
● Floor stock ordering is included; vendor shall set up floor stock ordering module; cost centers based on data provided by Douglas County Health Center; create and maintain floor stock ordering template and train staff on how to print and use floor stock reports
● Inventory and purchasing modules are available; to include purchasing, receiving and invoicing; inventory module to include stock takes, waste and transfer; E-Procurement interface with current purchasing contracts. Mobile solutions included for iPhone or Android Device for Stock takes
● Tray tracking module is available
● Interface with Point of Sale if available
● Vendor is responsible for all testing prior to Go-Live
● On-site and remote training for 6 Super Users
● Go-Live ON SITE support included
● Includes upgrades in real time
● Vendor shall provide system maintenance with minimal downtime; vendor shall provide adequate notice of any downtime
● Vendor is responsible for all testing prior to upgrades and patches installed
● Easy for staff to use
● Development of Quick Implementation timeline agreed upon by vendor and Douglas County Health Center from contract signing
● Customer Service Line available during normal business hours 8-5 p.m. CST
● HIPPA Compliant
● License fees based upon patient days
- Software proposal to include:
- Initial software expense
- Implementation Support expense
- Annual software license expense
- Estimated expense for local servers
- Estimated expense for super user by FTE (full time equivalent; 40 hours per week)
- Database Management: Response and Resolution Time in writing for Critical Issues (Patient Safety), High Level Patient Issues, Medium Level Issues & Low Level Issues to include workflow functionality
- General overview about technical specifications and information about software functionality and requirements
- Minimum requirement for all workstations using the system
- Supported Browsers for all applications
- Hardware Recommendations and requirements for system including printers for tray tickets and labels
