Government Authority located in Nebraska; USA based organization looking for expert vendor for production services of living well magazine.
[A] Budget: Looking for Proposals
[B] Scope of Service:
Vendor needs to provide production necessary to develop a high-quality product for preparing electronic print-ready files to the printing/mailing contractor to the government authority located in Nebraska.
a. Photography
i. Each quarterly issue may include photography for Butler, Fillmore, Lancaster, Polk, Saline, Saunders, Seward, and York counties in Nebraska.
ii. Articles have been averaging approximately two (2) hours of time for photography (includes travel time).
iii. Contractor to contact the Aging Partners’ Editor, Dave Norris and the writer, via email, phone conference or an in-person meeting, before approaching the interviewee.
iv. Photographer must obtain photo consent, via signed consent form, prior to shoot and provide Aging Partners with a copy and also retain their copy on file indefinitely for future reference.
v. Deliver photos on disk or flash drive to Aging Partners’ Editor by assigned deadline at no additional cost to the Owner.
vi. Photography for Living Well magazine shall be royalty free.
b. Article Research and Copywriting
i. Each quarterly issue may include news articles, research and copywriting for Butler, Fillmore, Lancaster, Polk, Saline, Saunders, Seward, and York counties in Nebraska. Note: All travel and travel expenses to each location must be included in the total cost presented in document.
ii. Owner will provide ALL story ideas to the Contractor’s writer in each quarterly pre-production meeting or phone conference;
iii. A quarterly issue contains approximately 14 to 17 articles – the Owner provide on the average approximately 5 to 8 articles for inclusion. Contractor shall be responsible for researching and writing the remaining articles (based on story ideas provided by the Owner). Article word counts range between 400 and 700 words cut down for space;
iv. After the pre-production meeting, the Contractor shall contact the interviewee directly to schedule and perform an on-site interview; and
v. Contractor’s copywriter to create the article using AP Stylebook for rules and maintaining a history of preferences and incorporate into the magazine draft for the Owner.
c. Design, Layout and Proofing:
i. Work closely with the Owner’s Editor to compile the magazine contents including advertisements, articles, artwork and to ensure styles, page placement and special requests are handled appropriately;
ii. Upon request(s), the designer shall create or edit advertisements that have been identified or collected by the Owner – Approximately half of all advertisements will require creation or editing (typically, the magazine contains between 10 to 20 advertisements per issue);
iii. Generate and complete the design and layout of each quarterly magazine in its entirety. The initial layout to be determined by the Contractor’s Designer and is subject to approval by the Owner. Some pages may include advertisement renewals which require no design changes. The Owner to consult directly with the advertisers on renewals;
iv. Provide the Owner with a draft of and/or a link to the entire magazine so they can print draft copies four weeks prior to print date; all proofs shall be presented to the Owner’s Editor in a timely manner for review and sign-off prior to uploading electronic files to the printing/mailing Contractor.
v. Incorporate necessary changes after the Owner’s Editor and staff review the initial draft and provide a revised draft and/or link of the entire magazine which reflect the changes.
a) This process may repeat up to as many times as necessary until the entire issue is approved by Owner’s Editor;
b) Contractor’s designated staff shall first discuss changes being made (via on-site meetings or phone conferences) and shall be followed up with written instructions and approvals.
c) Retain a copy of the final approved draft from Aging Partners.

[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
