(1) Vendor needs to provide improved digital workspace and communication experience utilizing Microsoft 365 platform with a robust information architecture (IA), user experience and content strategy.
- Additional objectives include streamlining the user experience, improving search capabilities, facilitating integrations with other corporate platforms, implementing an analytics strategy to measure performance, and improving communications processes and channels to enhance employee engagement.
- Project oversight, facilitation, issue resolution, status reporting, and accountability for the successful implementation of the project.
- Discovery and analysis of current state, evaluation of business requirements, identification and planning of solutions, and development of overall design for the solution.
- Implementation of security controls required to maximize the security of the solution.
- Estimated amount of additional storage space needed to implement the solution.
- Estimated change to network traffic as a result of the implementation of the solution.
- Tenant configuration.
- Search configuration.
- Validation of the solution, ensuring mutually agreed upon acceptance criteria which support the district's business requirements are successfully met.
- Stakeholder analysis and associated communications plan.
- Identification of training attendees and their roles (users, admins, technical, etc.) with the solution.
- Development and execution of training materials for the identified user roles.
- Assess the existing SharePoint, and archive structures to gain insight and understanding of the existing structures, content types and metadata.
- Identify opportunities to improve content and document management.
- Create page templates to deliver a consistent look and feel for various types of content.
- Custom filters driven by data captured, and the automated flow of content into web parts and search scopes throughout the experience.
- The solution shall implement taxonomies to capture how content functions within the intranet. The taxonomies shall be deployed to the SharePoint Term Store.
- Search results shall be provided from across all intranet sites, user profiles, documents, and private sites to which the user has access in a tenant wide search scope which is accessible from the home site.
- Search initiated from a level two department, location, or collaboration site shall provide search results from that site with the option to back out to the hub or tenant level.
- The solution shall support the ability to deliver content to users based on a two-pronged 'assigned or subscribed' strategy, enabling employees to opt-in to communications based on subject matter or publisher while ensuring that organization-wide communications reach all employees.
- The solution shall provide a method for displaying global alerts when the need arises to all employees or to relevant target employee groups.
- The solution, including custom web parts, shall support the targeted delivery of content via out-of-the-box audience targeting capabilities and custom user profile properties.
- The solution should include the ability for users to create a custom menu of bookmarked links, tools and resources.
(2) All questions must be submitted no later than February 22, 2023.
(3) A non-mandatory pre-bid Microsoft Teams meeting will be held on February 20, 2023.
